Description of software services - Flip Flows

Flip Flows is the automation module of the Flip platform. It makes it possible to configure recurring sequences and personalised processes for employees and to roll them out automatically. Flip Flows runs within the Flip platform and uses its functions, in particular user management, roles and permissions, and profile attributes. Flip Flows provides the following functions:

Automation and processes

Automated onboarding journeys. Configurable onboarding sequences drip-feed content to users over an extended period of time (e.g. to onboard new employees).

Automated workflow journeys. Automated workflows are delivered 1-to-1 to employees via a chat interface, allowing them to take personalised, tailored journeys. The sequences can be triggered by events, attributes or user actions.

Custom workflows and agents. Customers can define custom workflows and agents to make recurring processes more efficient and to automate them. The scope of complex or external integrations may be limited and is provided on a case-by-case basis.

Targeted, attribute-based communications. Interactive rich-media messages can be delivered to defined target groups, selected on the basis of profile attributes and activities. Recipients are selected via the user management of the Flip platform.

Integration into the Flip platform

User management, roles and permissions. Flip Flows uses the existing user management and the role and permission model of the Flip platform. Journeys and messages are delivered exclusively within the platform’s permissions and target groups; a separate user or permission administration is not required.

Attribute- and event-based control. Journeys and communications can be controlled on the basis of profile attributes, group memberships and user actions. The data used for this originates from the Flip platform.

Platform binding. Flip Flows is functionally self-contained but technically bound to the Flip platform and cannot run without it.

Operation, security and data protection

Activation and deactivation. Flip Flows is activated at tenant level. The Customer can deactivate the module again within the scope of the contractual provisions.

Data protection. The processing of personal data is carried out in accordance with the platform data processing agreement (processing on behalf under Art. 28 GDPR). Delivery is always based on access rights. The provider-side requirements of Regulation (EU) 2024/1689 (EU AI Act) are complied with.

Hosting. Flip Flows is operated as part of the Flip platform in GDPR-compliant data centres.

Availability reporting. The availability status can be viewed at any time at getflip.com/status/.

Retention and export

The retention periods for the individual data categories are set out in the table below. Retention periods marked as configurable can be set by the Customer within the limits provided for. Customer content can be exported in the formats and via the routes stated. In all other respects, deletion after the end of the contract is governed by the main agreement and the data processing agreement.

For the data categories marked above as “No self-service export”, the Provider makes the customer content available upon the Customer’s request via support in a common electronic format. The entries in the “Export” column refer to the export functions available during the term of the contract; the Customer’s rights under the main agreement (switching support) and under the data processing agreement remain unaffected.

For the data categories marked as “No export”, no export function is available; where they contain Customer Content within the meaning of clause 1 of the Terms, the Provider makes it available upon request via support in a structured, commonly used and machine-readable format. Clause 9.5 of the Terms and the Customer’s rights under the Terms (export and switching support) remain unaffected.

  • Firefox desktop: last 3 major versions

  • Safari desktop: last 3 minor versions

Flip Flows is used within the Flip platform; the system requirements of the Flip platform apply in addition.

Legal framework

This software service description sets out the characteristics of the Flip Flows software service. Which functions are owed in a specific case follows from the offer in conjunction with the main agreement. Flip Flows requires the use of the Flip platform; the software service description of the Flip platform applies in addition. The service quality and availability owed are governed by the Service Level Agreement for the Flip platform. The Provider may develop the service further within the scope of the contractual provisions.
